How Pitch Buzz collects, uses and protects your personal information when you contact us, book our services or buy event tickets.
In short
- We collect only what we need to reply to you, deliver our services and issue and check event tickets.
- We never sell your information, and we do not use it for marketing unless you agree.
- Attendee photos are kept in private storage, shown only to gate staff, and deleted [30] days after the event.
- You can ask to see, correct or delete your information at any time at pitchbuzzgh@gmail.com.
Who we are
Pitch Buzz is a PR, digital marketing and event promotion company in Ghana, and we also run online ticketing for events. We are the data controller for the information described here. Pitch Buzz is registered with the Data Protection Commission of Ghana, registration number [number]. Contact: pitchbuzzgh@gmail.com, [address].
What we collect
When you contact us or book a service: your name, email, phone or WhatsApp number, who you are (brand, artist, organizer), what you are interested in, and the message you send.
When you buy a ticket: your name, email and phone number; for each ticket, the attendee’s name, phone number and photo; your order and payment references; and the time a ticket is scanned at the gate.
When you pay: payments are handled by Paystack and Hubtel, or by mobile money transfer. We receive a payment reference and the amount, and we do not see or store your card number or mobile money PIN.
When you visit the website: basic technical information such as your device, browser and pages visited, through cookies [and analytics, if you use them].
Why we use it
- To reply to your enquiry, prepare quotes and deliver the services you buy.
- To issue your tickets, email them to you, and check them at the gate.
- To process payments and refunds, and to keep accounting records.
- To tell you about changes to an event you have tickets for, such as a reschedule or cancellation.
- To prevent fraud and misuse of tickets and our website.
- To meet our legal duties.
We rely on your consent, on the need to carry out what you have asked us for, on our legal duties, and on our legitimate interest in keeping our service secure and our records accurate.
Who sees your information
- Payment providers (Paystack and Hubtel) process your payments.
- Email and hosting providers that deliver our emails and keep our website running.
- Event organizers see the attendee names for their own event [and phone numbers where we have told you so at checkout], and whether a ticket has been scanned. They do not receive your email address or attendee photos, and they may use the information only to run that event.
- Gate staff at an event see an attendee’s name and photo when checking them in.
- Authorities, where the law requires it.
We do not sell your information.
Attendee photos
Photos you upload for a ticket are stored privately, not in a public folder. They are shown only to authorized gate staff to confirm the attendee’s identity, and they are deleted [30] days after the event.
How long we keep it
- Contact enquiries: [12] months.
- Orders, payments, refunds and ticket records, including attendee names and phone numbers: [6] years, for accounting, refunds and disputes. After that we delete or anonymize them.
- Attendee photos: [30] days after the event.
How we protect it
Our website uses an encrypted (HTTPS) connection. Photos are kept in private storage. Tickets carry signed QR codes that cannot be guessed. Gate staff and organizers get only the access they need, and staff accounts are personal. If a breach affects your information, we will tell you and the Data Protection Commission as the law requires.
Your rights
Under the Data Protection Act, 2012 (Act 843) you can ask us to:
- show you the information we hold about you;
- correct information that is wrong;
- delete your information, where we are not required to keep it (for example payment records we must keep by law);
- stop using your information for a particular purpose; and
- stop relying on your consent, if that is the basis we use.
Write to pitchbuzzgh@gmail.com and we will reply within [14] days. You can also complain to the Data Protection Commission at dataprotection.org.gh.
Children
Tickets must be bought by someone aged 18 or over. If an attendee is under 18, the buyer confirms they have the permission of a parent or guardian to share that child’s name and photo for the ticket.
Other countries
Some of our providers (such as payment, email or hosting companies) may process information outside Ghana. We use reputable providers and expect them to protect your information.
